Position: Office and Facilities Coordinator

Department: Beauty & Wellness

Work Location: Boston, MA, 100% Onsite

Work Schedule: Part time, 24 hours a week, Tuesday, Wednesday, Thursday 8:30 am-5:00 pm EST.

What you will be doing:

The Office and Facilities Coordinator is a customer facing role (both internal and external) that will be responsible for working on both administrative and facilities tasks. The ideal candidate will have administrative experience including excellent customer service and digital literacy.

Office Operations

  • Follow up to ensure the kitchen, mailroom, storage spaces, and conference rooms are orderly and stocked daily

  • Coordinate shipping and receiving for the Boston office

  • Order office supplies, including food as needed

  • Assist with event setup and breakdown as needed

  • Communicate to team any vital information related to office operations

Product Availability

  • Coordinate product and stockroom quickly and efficiently

  • Order products as needed to maintain the appropriate supply in house

  • Assist team with capture and shipping of samples

  • Coordinate with Sales and Marketing teams on product needed for any mailings

Office Cleanliness and Maintenance

  • Manage cleanliness of office kitchen

  • Identify maintenance needs throughout facility and coordinate repairs

  • Establish relationship with office maintenance through landlord, learn their ticketing system

  • Coordinate IT tickets as needed

Skills needed to be successful in this role:

  • Must be a self starter

  • Ability to follow instructions and work independently

  • Physically able to lift 50 pounds

  • Excellent organizational skills and attention to detail

  • Excellent communication skills, both oral and written

  • Excellent customer service skills

  • Must be able to work with and maintain confidential information

Minimum Qualifications:

  • High School Diploma

  • 2+ years in related experience

  • Authorized to work in the United States on a full-time basis

Preferred Qualifications:

  • Experience with FedEx shipping
