The Sales Operations Manager who, when not driving the execution of Puffin’s sales and forecasting projects, can be at our Puffin HQ in Bend, Oregon contributing as a valued member of the Puffin team. As our Sales Operations Manager... Reporting to the Operations Manager, you will work directly with the Puffin Wholesale, Operations and Warehouse teams to ensure that all revenue generating programs are executed on time and accurately.

In a typical week you will… Actively own the wholesale order book and order flow with Puffin’s 3PL partner to ensure timely and accurate shipments for all customers. In addition, you will spearhead monthly forecasting for all key wholesale partners, aid Puffin’s external rep network and manage the outward facing customer service team.

Job Title: Sales Operations Manager

Location: Bend, Oregon

Responsibilities:

  • Oversee the wholesale order to fulfillment process.
  • Own the wholesale order book.
  • Define KPIs to ensure timely and accurate shipments for all verticals.
  • Document and execute all routing and compliance needs for Key Accounts.
  • Directly manage and develop the Customer Service team, overseeing their output and holding them accountable to expectations.
  • Manage B2B software tools
  • Spearhead the Puffin customization process, interacting with both customers and Puffin’s external customization partner.
  • Onboard a variety of account types, from mom and pops to national multi-door retailers
  • Upkeep of sales materials (catalogs, order forms and more)
  • Track retail chargebacks and implement solutions to prevent recurrence.
  • Drive the forecasting process in collaboration with the wholesale and DTC teams
  • Partner and support the Wholesale, Ecommerce/DTC and Licensing/Collaborations/Partnership channel teams to ensure brand position alignment and maximum growth.
  • Work with accounting team to ensure timely payment from wholesale accounts.

Reporting:

Report on the following KPIs:

  • Wholesale order book – revenue, unit count
  • Order turnaround time at 3PL
  • Response time for CS reps
  • Order entry accuracy
  • On hand availability of product line

Qualifications and Skills:

  • 3+ years of relevant industry experience within a branded consumer product company.
  • Strong understanding and comfort working within ERP systems (Business Central) and integrated technology suites (Elastic and SPS), with focus on EDI (Electronic Data Interchange).
  • Exceptional communication and presentation skills.
  • Understanding of operations and customer service function and needs of a branded consumer product company
  • History of managing shipments for accounts with complicated routing and compliance requirements
  • Excellent knowledge of forecasting for a wholesale-centric business.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Self-starter that can thrive in both a corporate and start-up environment.
  • High level of organizational skills and attention to detail.
  • Capable at operating at both a strategic/conceptual level and at a detailed, operational level; is metrics driven; and highly disciplined.
  • Strong skills working with MS Outlook (Excel - including Pivots and V Look Ups, PowerPoint, Teams) and project management software (Asana).
  • Interest and ability to travel domestically and internationally for customer meetings, rep travel and training days, and industry events as needed (average 10% and up to 25% during peak season).
